What information Fetchit® collects, why, who it is shared with, how long it is kept, and the choices you have.

This Privacy Policy explains how Schultz Technology ("we", "us") handles personal information when you use Fetchit®: the website at fetchitdata.cloud, the Fetchit desktop application, the Fetchit browser extension, and the services behind them (together, the "Service").

Two kinds of information

Fetchit handles two kinds of personal information, and our role is different for each.

  • Information about you as a user, such as your name, email address and sign-in details. We decide how this is used, and this policy applies to it directly.
  • Information a business puts into Fetchit about its own customers and callers, such as caller phone numbers and the client records Fetchit shows in a popup. The business that uses Fetchit (our "customer") decides what goes in and why. We handle it only to provide the Service to that customer, under our agreement with them. If you are one of their customers or callers, please contact that business first about your information; we will help them respond.

Information we collect

Account information

When you create an account or are invited to one, we collect your name, email address and, if you add one, a profile picture. If you set a password we store only a one-way hash of it, never the password itself. If you turn on two-factor authentication we store the secret your authenticator app uses. If you sign in with Google or another sign-in provider, we receive your name, email address and profile picture from that provider. We record when you last signed in.

Organization information

For each business using Fetchit we keep its name, a contact email address, website, time zone and any notes our team adds to support the account, along with who belongs to it and what they are allowed to do.

Call information

When the business's phone system reports a call, we receive and keep:

  • The caller's phone number and caller ID name, and the number they dialed.
  • When the call started, whether and where it was answered, how long it lasted, and whether it was transferred, held or missed.
  • The details the phone system sent about the call, kept as received so problems can be diagnosed.

We do not record calls or keep their audio, and we do not create transcripts.

Client records

To recognize a caller, Fetchit connects to the business management or practice management software the business uses and looks up the caller's number. To make that lookup fast, we keep a copy of the business's client records that includes client names, phone numbers and the other details that software provides for each client. That copy is kept in step with the business's software, and a client removed there is removed from our copy.

We also keep a record of the popups shown on each computer and how people interacted with them.

Computers and devices

When the desktop application is installed and signed in, we record the computer's name, the signed-in operating system username, a machine identifier, the application version and the network address it connects from. This lets a business see which computers are receiving popups and lets us deliver popups to the right ones.

Connection details for other systems

To connect Fetchit to a business's phone system and business software, the business gives us the account details those systems require, such as usernames, passwords or access keys. We store these encrypted and use them only to run that connection.

Technical and security information

Like most online services, we automatically record information about how the Service is used and whether it is working:

  • Request logs. Requests made to our servers, including the address requested, the time, the network (IP) address it came from, and the technical details the browser or program sent with it.
  • Activity history. Important actions such as signing in, signing out, inviting someone or changing settings, with who did it, when, and from which network address and browser.
  • Error reports. When something goes wrong in the website or desktop application, an error report is sent to our error monitoring provider. On the website, this can include a replay of the steps that led to the error. From the desktop application it can include the application's settings file and log file.

Emails

If you email us, we keep the messages. The emails we send can include an image that tells us whether the message was opened.

How we use information

We use the information above to:

  • Provide the Service: recognize callers, show popups, keep call history and produce reports.
  • Operate customer accounts, including sign-in, security settings, invitations and permissions.
  • Keep the Service secure, prevent misuse and investigate problems.
  • Find and fix errors and improve how the Service works.
  • Provide support and send messages about the Service, such as sign-in codes, invitations and important notices.
  • Meet our legal obligations and enforce our agreements.

We do not sell personal information, and we do not use it for advertising.

Who we share information with

We share personal information only in these situations:

  • Service providers that host and run parts of the Service for us, such as hosting, databases, email delivery and error monitoring. They may use it only to provide their services to us. They are listed on our Subprocessors page.
  • The systems a customer connects. When a business connects its phone system or business software, information is exchanged with those systems as needed to provide the Service. Those providers are chosen by the business, and their use of information is governed by the business's own agreements with them.
  • People within the same business, according to the roles and permissions that business sets.
  • Legal reasons, when required by law, to respond to valid legal process, or to protect the rights, safety and security of our customers, users, the public or ourselves.
  • Business changes, if Schultz Technology is involved in a merger, acquisition or sale of assets, in which case information may transfer as part of that transaction.

How long we keep information

We keep information for as long as the account it belongs to is active, and afterwards for as long as needed for the purposes above:

  • Account, organization, call and activity history is kept while the customer uses Fetchit, so their history and reports stay complete. When something is deleted in Fetchit, it is removed from view and use, and may be kept in our records for history, security and legal purposes.
  • Client records are kept in step with the business's own software, and a client removed there is removed from our copy.
  • Short-lived working data, such as sign-in handshakes, is kept for minutes or hours.

A customer can ask us to delete their information when they stop using Fetchit. We will do so unless we need to keep it to meet a legal obligation or resolve a dispute.

How we protect information

We use administrative, technical and physical safeguards appropriate to the information we handle, including:

  • Encrypted connections between your computer, our servers and our popup delivery service.
  • Encryption of the account details used to connect to phone systems and business software.
  • One-way hashing of API keys and application secrets.
  • Two-factor authentication for accounts, and a fresh sign-in check before sensitive changes.
  • Role-based permissions within each business, and a history of important actions.

No method of storing or sending information is completely secure, and we cannot guarantee absolute security. If we become aware of a breach that affects your personal information, we will notify the affected customers and, where required, you and the authorities.

Your choices and rights

You can view and update your name, email address, profile picture, password and two-factor settings from your account at any time.

Depending on where you live, you may have the right to ask for a copy of your personal information, to correct it, to have it deleted, or to object to or limit how it is used. To make a request, email legal@fetchitdata.cloud. We will need to confirm your identity before acting on it.

If your request is about information a business keeps in Fetchit about its customers or callers, we will pass it to that business, which decides how to respond, and we will help them do so.

Cookies

The website uses a small number of cookies that are needed to sign you in and keep your account secure. We do not use advertising or analytics cookies. See the Cookie Policy for the details.

Children

Fetchit is a business service and is not directed to children. We do not knowingly collect personal information from children under 16. If you believe a child has given us personal information, contact us and we will delete it.

Where information is processed

Schultz Technology is based in the United States, and our service providers may store and process information in the United States and other countries. Wherever it is processed, we protect it as described in this policy.

Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will change the date at the top of this page, and for significant changes we will give notice through the Service or by email.
